Studio Terms and Conditions

To maximise the benefits of our studio and you experience at our studio, you agree to be bound by the following terms and conditions:

Appointments

  • All class appointments must be made via our booking system in the SOJO Pilates app or booking portal on our website. For private appointments all bookings will be directly through individual Trainers, by contacting them directly on their mobile phones. Should you be unable to contact them, simply leave a message on their message bank service. The studio number should only be used to contact Management.

Pre Screener

  • All client are required to complete the initial pre screener questionnaire prior to commencing training. If the pre screener is incomplete or not submitted prior to the first class, the client acknowledges the risk involved and takes full responsibility for any injuries sustained and cannot hold SOJO Pilates or any of its representatives responsible. 

Initial Consultation

  • Clients have the opportunity to complete an Initial Consultation prior to starting a program. This is to assess your progress, goals and update your exercise programs. All Private membership clients can complete a Goal Setting appointment to help reset goals, exercise and progress reports. This equates to a minimum 1 session of your program and is the key to your long-term success. If required, we will automatically increase your payment at this time to account for this session.

Class & Private Cancellation Policy

  • General Class Cancellations:
    For Any Membership Type:
    A strict 12 hour rule applies for all class bookings to our classes. Any late cancellation within 12 hours of the class starting is penalised with a $15 late fee, that will be billed to your account automatically. If the payment does fail there is a secondary late fee of $4 that is applied to the account. All No Show bookings to any class will result in a $15 fee charged to the individual. 

  • Private Class Cancellations:
    Private sessions have a 12-hour cancellation policy.
    If a private session is canceled within 12 hours of the scheduled start time, the session will be forfeited.
    No additional fee will be charged for the cancellation. 

No transfer

  • Under no circumstances are classes to be transferable between non members. If you have booked a class via the SOJO app or SOJO Pilates Website booking system and another person shows up for the booking, they will be turned away from the class or asked to purchase their own credit. If this was to occur a cancellation of membership can happen.  

Billing

  • You have been given the option of choosing a program based on either periodic billing or pre payment. Your prepaid program is non-refundable and any sessions not used will be forfeited by the date of expiry.

  • A 1.99% + 30c transaction fee for all transactions will be applied on all payments and for all purchases 

Amendments

  • If you wish to amend your account details at any time you will be required to complete the necessary steps through your SOJO App. Or alternatively you can send an email request to management so to update via the portal.

  • To maximise your results, should any Private lessons be missed within your program term, we recommend that you make them up in the remaining time corresponding to each membership expiry. You may suspend your program once for a minimum of two weeks payments and a maximum of four weeks payments should you go away on extended leave during the contracted term. If you wish to suspend, you must give us a minimum 14 days’ notice by placing an online suspension request through email (info@pilatesbysojo.com.au). Any payments suspended will simply be added to the end of your minimum term.

Membership Terms and Conditions 

  • All “RESULTS” & “TRANSFORM” memberships unless otherwise stated or agreed upon with management are a 6 MONTH (26 PAYMENTS) OR 12 months (52 Payments) minimum term from the first date of debit using the direct debit or credit card option. 

  • All prepaid memberships are non refundable 

  • Any member who is actively participating in hateful, inappropriate, offensive or illegal behaviour or deemed to be disturbing other clients of SOJO Pilates can have their memberships revoked and cancelled at any given notice. 

  • SOJO reserves the right to amend these terms and conditions by giving you at least 7 days notice.

Billing

  • Should your actual session usage exceed your billing rate by more than two weeks, SOJO Pilates will make a variation to your next payment to ensure that the session usage is up to date.

  • At the end of your minimum program, your debits will automatically continue. If you wish to stop training with us at your programs' completion, you must give us a minimum 30 days notice after your next scheduled debit date by placing an online cancellation request through your SOJO App. SOJO Pilates will respond to its receipt of this request within 7 days at which time you will be required to arrange and subsequently meet with the Studio Manager before your contract is terminated on the closest debit date to that 30 day notice period. During this 30 days notice period your account will remain active until the assigned date of termination. Your account may not be suspended during this 30 day notice period.

  • If at the end of any session you are not fully satisfied with our services, we are happy to offer and / or provide you with an alternate Trainer. None of our Trainers take offence to any client wanting to change Trainers, for whatever reasons. In fact, changing Trainers can often help with your progress. If you are not happy with the group classes please feel free to book another time with another trainer.

Dress requirements

  • Any person participating in Pilates (Mat & Reformer) will be required to wear socks for hygiene purposes and for the safety of all of the members.

Additional Information

  • Any pre-existing medical conditions that may affect your ability to successfully follow your program and achieve the agreed results must be identified in your first "Goals Sessions" through the Lifestyle Screen.

  • Your program may be transferred to another party who is not a current client of SOJO Pilates should you be unable to use any unused sessions before your expiry date. Alternatively, at the time that you cease training with us, you may simply pay out 50% of your remaining Program term with a 4 week minimum payment.

  • Please note that we do not take any responsibility for lost or stolen personal items. We suggest that you do not bring items of value with you into the Studio. Further we require that you acknowledge that exercise can cause serious injury or death. Therefore you will not be able to hold SOJO Pilates or any of its representatives liable for any injury sustained to yourself in our premises and / or whilst under our supervision.

  • Please note that our prices may be subject to change at the end of your program, however, you will be notified of any change at least 30 days prior to any increase.

  • As a professional courtesy, a 7 day cooling off period exists, from the date of signing below. Should you wish to terminate or alter your program within this period, you must arrange a meeting with Management. In the meeting you will need to provide notice in writing, attaching a copy of these policies and your direct debit contract (if applicable). In the case of termination, the Start Up Fee will be fully refunded. A $79 administration fee will apply.

  • We do not sell, trade, or otherwise transfer to outside parties your personally identifiable information. This does not include trusted third parties who assist us in operating our website, conducting our business, or servicing you, so long as those parties agree to keep this information confidential.
